Do you take insurance?

Calm Minds is not currently paneled with any insurance providers and cannot accept insurance as payment. Currently, our therapy services are considered Out-of-Network (OON). Calm Minds offers superbills for clients wanting to use their out-of-network benefits, or clients can choose to use their HSA/FHA coverage. For those who want reimbursement claims submitted for them without hassle, we have partnered with Mentaya. You can scroll down to read more about how much counseling costs, how OON insurance reimbursement might work, reduced rates options, as well as what payments we accept, in the FAQs below. Consultation and public workshops are not reimbursable through insurance and are self-pay as well.

Can I use my FHA/HSA benefits?

Yes! Calm Minds is classified as a counseling center and can accept FSA/HSA payments through Stripe. It's also important to note that FSA/HSA cards are heavily regulated and are required to abide by various guidelines that can make processing them difficult. You might need to enlist the assistance of your FSA/HSA bank/administrator if you experience any trouble utilizing your account. Calm Minds will also assist in providing any necessary documentation needed to properly utilize your FSA/HSA benefits.

What are the advantages of using my Out-Of-Network benefits?

Utilizing out-of-network benefits empowers you to make the best choices for your mental health care, ensuring you receive the quality and type of therapy that aligns with your personal needs and preferences. A few advantages of using OON benefits include:

  • Flexibility in Choosing a Therapist: Out-of-network benefits allow you to choose a therapist who best meets your needs, even if they are not part of your insurance provider's network. This can be particularly beneficial if you are seeking a specialist or a therapist with specific expertise.

  • Access to High-Quality Care: Many therapists who do not contract with insurance companies often have more flexibility to provide personalized care. They can allocate more time and resources to your treatment, as they are not constrained by insurance company policies and limitations. This is particularly important for clients who might need extra care to bolster their therapy progress. Examples of flexible care include phone check-ins, exposure therapy at home, or nature-based walk-and-talk therapy.

  • Reimbursement Options: While you may need to pay for services upfront, many insurance plans offer partial reimbursement for out-of-network services. This can help offset the cost and make high-quality therapy more affordable. Many people have out-of-network benefits that they don’t know how to use. Check here to see if you have OON benefits!

  • Confidentiality and Privacy: Using out-of-network benefits can provide greater privacy. Insurance companies often require detailed information about your treatment for in-network services, whereas out-of-network claims typically involve little to no detailed reporting, enhancing confidentiality and limiting risk of leaking private health information.

  • No Referrals Needed: With out-of-network benefits, you typically don't need a referral from your primary care physician to see a specialist, making it easier and quicker to start your therapy sessions.

  • Therapist Availability & Attention: In-network therapists can have long waiting lists due to high demand. Opting for an out-of-network therapist can often result in quicker access to quality care, ensuring you receive timely and individualized support.

Can you offer a superbill for Out-Of-Network benefits?

Yes. These are accessible through your client portal and can potentially be submitted to your insurance company for reimbursement. Note: submitting a superbill does not guarantee your insurance will reimburse the full session amount. Check with your insurance for about your specific coverage policy.

For those who want reimbursement claims submitted for them without hassle, we have partnered with Mentaya.

Mentaya is perfect if you have out-of-network benefits, feel overwhelmed by superbills/insurance, have submitted superbills but failed to get any reimbursement, or simply want to skip the hassle of paperwork. Mentaya charges a 5% fee per claim, which includes handling any paperwork required, dealing with denials, and calling insurance companies.

How much is counseling?

Individual therapy sessions are $150 for the initial intake evaluation and $135 for subsequent individual sessions. Couples, relationship, and family sessions of 2 or more people are $200 per 90-minute session and $160 per 60-minute session. Group sessions usually range from $50-$75 per session, per individual. We provide a free 10-15 minute phone consultation if you have questions about any of our services or would like to explore goodness-of-fit.

Do you offer sessions at a reduced rate?

Yes with some exceptions. There are a limited number of spots on our caseload for reduced rate or sliding scale counseling services. These are offered to individuals and/or families when space is available. If you are in need of one of these options, please reach out, so we can let you know when we have sliding scale spaces available.

Are you offering any face-to-face sessions?

Yes. Our office is located at 617 Franklin Ave, Suit #19, Berlin, MD 21811. All sessions are by appointment only. We cannot guarantee someone will be there to speak with you if you do not have an appointment.

What if I have to cancel my appointment?

We have a cancellation policy that requires 48 hours notice. If you cancel 48 hours or more in advanced, no worries! If you late cancel (less than 48 hours notice), we charge $60. If you no-show, we charge the full fee of your session. While we understand that this policy can be frustrating, we also want our clients to know that we value our time and theirs.

How long does counseling take? How long is a session?

  • Length of treatment is determined through initial and ongoing assessment, consultation to the client, and depends on symptom acuity and treatment goals.

  • Intake assessment appointments are typically 60 minutes, and regular counseling sessions are typically 50-55 minutes.

  • Couples, relationship and family therapy sessions range from 60 to 90 minutes.

  • Group therapy sessions are usually 1-2 hours depending on the nature of the group.

  • You have the right to end treatment at any point. We welcome ongoing discussion about treatment planning and frequency of sessions.

What do I need to prepare for my first counseling session?

You will receive an email link to our electronic health record client portal. Through the client portal, you will be able to access paperwork to review and complete prior to your first meeting. The intake will ask for some basic mental health and medical history, as well as why you are currently seeking counseling. There will also be legal and financial paperwork to complete prior to your meeting. You can also sign up for email appointment reminders in your Client Portal. If this paperwork is not completed by the time of the appointment, it will have to be done during your first session.

If you have a virtual session scheduled, you will receive a Google Meet link before your appointment. If you have an in-person meeting, you can either wait in your car and text us when you have arrived, or you can come in and wait in the waiting room.

What is telehealth or a virtual meeting? How does it work?

We currently use G Suite through Google, which includes HIPAA compliant Google Meet.

  • A meeting link will be created, and you will be invited to it via email or a calendar invite. When ready, just click the link!

  • You will need to either download Google Meet software to your phone, or access the link from a computer browser window.

  • Although you can use data from your phone to use the app (if you choose to use your phone), we recommend using a WiFi connection to decrease connectivity issues and ensure you don’t incur fees for data use, if at all possible

  • Please find a safe secure confidential space to have your online session or meeting. A lot of people sit in their car in the driveway or garage for peace and quiet. Others hop on their desktop in a room at home, use a white noise app on their phone for privacy, and shut the door.

How much is consultation?

We offer brief, one-time consultation calls for prospective clients and other professionals, for other consultation services there is a fee structure. In general, the consultation fee is $125 per hour for speaking, educational, or presentation events.

If you are a clinician or other healing professional and are interested in receiving some additional consultation support, we can negotiate a contract for frequency of meetings. The rate for any sort of clinical case consultation support is $125 per hour.
